How do I book you?
You can get in touch via the contact form, email, or social media. Once details are agreed (event, date, usage, and fee), your booking is confirmed in writing.
What types of sport do you photograph?
I photograph grassroots, league, elite, and para sport, including Blind & Visually Impaired (VI) sport such as Goalball and blind hockey. Access is always subject to venue and organiser approval.
How far in advance should I book?
As early as possible, especially for tournaments, league fixtures, or multi-day events. Short-notice bookings may be available depending on availability.
Do you travel?
Yes. Travel within my local area is usually included. Longer distances, overnight stays, or multi-day events may incur additional costs, which will always be agreed in advance.

How much do you charge?
Pricing depends on:
Event level (grassroots, league, elite)
Duration and coverage required
Intended image usage (editorial vs commercial)
Every quote is tailored to the event.
Do you require a deposit?
This will be confirmed at booking. Some events require payment upfront; others may be invoiced.
Can clubs or organisations be invoiced?
Yes. Invoices can be issued to clubs, leagues, or organisations, subject to agreed payment terms.
What happens if a game or event is cancelled?
If an event is cancelled or postponed due to factors outside anyone’s control (weather, fixture changes), I’ll make reasonable efforts to reschedule. Cancellation terms are outlined in the full Terms & Conditions.

How many photos will we receive?
The number of images varies depending on the event, duration, and flow of play. I focus on quality, storytelling, and key moments rather than fixed numbers.
How long does delivery take?
Typical delivery times:
Single matches: a few days
Tournaments or multi-day events: longer turnaround
Exact timelines will be confirmed in advance.
Do you provide RAW files?
No. All images are delivered fully edited in my professional style to ensure quality and consistency.
Can we request extra edits?
Yes. Additional edits outside the agreed scope may incur an extra charge.

Who owns the photos?
I retain copyright to all images. Clients receive a licence to use the photos as agreed.
Can we use the photos on social media?
Yes. Social media use is included unless otherwise agreed. Please credit where possible:

Can images be shared with players or parents?

Not for normal sports coverage, editorial use, or portfolio work.
Model releases are only required for commercial or advertising use.Who is responsible for consent?
The organising club, league, or body is responsible for ensuring participants are aware that photography will take place, unless agreed otherwise.
What about minors?
Safeguarding and consent for minors is the responsibility of the organiser or club.

Do you have experience with Blind & VI sport?
Yes. I have a professional understanding of Blind & VI sport and work in a way that respects athletes, officials, and the flow of play.
How do you avoid disrupting competition?
I:
Never use flash
Minimise movement during live play
Follow silence protocols and official instructions at all times
Can athletes opt out of being photographed?
Yes. Opt-outs should be communicated via the organiser before or during the event where possible.

Do you work under press passes or accreditation?
Yes. I comply fully with press and media regulations issued by organisers or governing bodies.
Can images from elite events be used commercially?
Not without additional permission and, where required, governing body approval.
What if access or shooting locations are restricted?
Safety, safeguarding, and competition integrity always come first. I’m not liable for missed images due to access, broadcast, or security restrictions.

1. Ownership & Copyright
All photographs taken by PlayByKane / Kane Haywood-Rogers remain the intellectual property of the Photographer.
Copyright is protected under the Copyright, Designs and Patents Act 1988.
No transfer of ownership occurs unless specifically agreed in writing.
2. Personal Use License
Clients and individuals are granted a non-exclusive, non-transferable licence to use purchased or delivered Images for:
Personal display (digital or printed)
Private social media sharing (with credit: Photo: © PlayByKane)
Club or team promotion (internal or non-commercial)
Images must not be:
Sold or resold
Distributed to third parties
Used commercially beyond agreed purposes
without written permission.
3. Commercial / Editorial Use
Any commercial use (sponsorship, advertising, merchandising, paid promotion) requires a separate written licence.
Editorial use (news articles, blogs, match reports) is permitted only if credited appropriately.
Images from elite/pro events may require approval from the governing body or event organiser before publication.
4. Modification & Alteration
Images must not be altered, cropped, or modified in a way that misrepresents the subject, event, or Photographer’s brand.
Minor cropping for personal display is permitted, but removal of watermarks or copyright notices is strictly prohibited.
5. Delivery & Retention
Images are delivered digitally unless otherwise agreed.
The Photographer retains copies of all images for portfolio, promotion, or archive purposes unless otherwise requested in writing.
Requests for deletion of Images must be made in writing; the Photographer cannot guarantee removal from third-party platforms once shared.
6. Safeguarding & Accessibility Considerations
For photographs of vulnerable participants, minors, or visually impaired athletes, the Photographer will adhere to strict safeguarding and accessibility standards.
The Client is responsible for ensuring consent and informing participants that photography will occur.
7. Liability & Responsibility
The Photographer will take all reasonable care when capturing images but is not responsible for:
Missed moments due to timing, player movement, or restricted access
Equipment failure, weather, or venue restrictions
Liability is limited to the total value of the booking or purchased Images.
8. Use of Images by Photographer
The Photographer may use delivered images for:
Portfolio
Website & social media
Promotional purposes
unless explicitly opted out by the Client in writing.
9. Governing Law
These Terms of Use are governed by the laws of England and Wales, and disputes are subject to UK courts.

“Client” refers to any individual, club, organisation, league, governing body, or company booking photography services.
“Images” refers to all photographs, digital files, and edited outputs created by the Photographer.2. Booking & Agreement
By booking the Photographer, the Client confirms they have read, understood, and agreed to these Terms & Conditions.
A booking is confirmed once agreed in writing (email, message, or contract).3. Payment
Fees will be agreed prior to the event.
Payment terms will be confirmed at booking.
The Photographer reserves the right to withhold image delivery until full payment is received.
4. Cancellations & Rescheduling
Cancellations should be made as early as possible.
Cancellations within 48 hours of the event may incur a cancellation fee.
Where fixtures are postponed or cancelled due to weather or external factors, reasonable efforts will be made to reschedule.
5. Copyright & Ownership
All Images remain the copyright of the Photographer under the Copyright, Designs and Patents Act 1988.
No ownership is transferred unless explicitly agreed in writing.6. Image Usage & Licensing
Unless otherwise agreed in writing, the Client is granted a non-exclusive licence to use Images for:
Club or organisational websites
Social media
Promotional and internal use
Images may not be:
Sold
Transferred to third parties
Used commercially beyond the agreed scope
without written permission.
7. Editorial vs Commercial Use
Editorial use includes news coverage, match reports, blogs, and non-promotional articles.
Commercial use includes sponsorship, advertising, merchandise, paid promotions, or brand partnerships.
Editorial permission does not automatically include commercial rights.
Separate licensing is required for commercial use.8. Image Credit
Where possible, Images should be credited as:

The Photographer retains full creative control over editing and image selection.
RAW files are not supplied.
Delivery times are estimates and may vary depending on workload and event scale.
Images are delivered digitally unless otherwise agreed.
10. Press Passes & Media Accreditation
Where access is granted via a press or media pass, the Photographer will comply with issued media regulations while on site.
Press accreditation does not transfer copyright or ownership of Images unless agreed in writing.
Images captured under press access may be used for editorial, portfolio, and promotional purposes unless explicitly restricted in writing.
Any embargoes, outlet restrictions, or publication limits must be communicated prior to the event.
11. League, Governing Body & Competition Rules
The Client confirms permission has been obtained from the relevant league, federation, or governing body.
The Photographer is not responsible for access limitations imposed by officials, stewards, broadcasters, or venue staff.
Any restrictions on image use or distribution must be supplied in writing before the event.
12. Elite, Professional & Broadcast-Level Sport
Broadcast rights holders may take priority over shooting locations and access.
Certain angles, branding, or moments may be restricted.
The Photographer is not liable for missed images due to venue, broadcast, or security restrictions.
Images captured at elite or professional events may not be resold or syndicated beyond the agreed licence without written approval.
13. Blind & Visually Impaired Sport – General Principles
The Photographer recognises the specific requirements of Blind & Visually Impaired (VI) sport, including reliance on sound, spatial awareness, and uninterrupted play.
The Photographer will:
Avoid unnecessary movement during live play
Never use flash
Follow instructions from officials, referees, coaches, or technical staff immediately
Images will be captured respectfully, focusing on sport, skill, and competition rather than impairment.
14. Blind & Visually Impaired Sport – Grassroots Level
(Community clubs, schools, development squads)
The Client confirms participants and guardians (where applicable) have been informed that photography will take place.
The Photographer is not responsible for obtaining individual consent unless agreed in advance.
Images may be used for portfolio, website, and social media promotion unless opted out in writing.
Any safeguarding requirements relating to juniors or vulnerable adults must be communicated before the event.
15. Blind & Visually Impaired Sport – Elite / Professional Level
(National teams, international competitions, sanctioned leagues)
Photography access must be approved by the relevant governing body or event organiser.
The Photographer will adhere to all competition protocols, silence rules, and positioning restrictions.
Images captured may be used for editorial and portfolio purposes unless restricted in writing.
Commercial use requires additional licensing and governing body approval.
The Photographer is not liable for access or shooting limitations imposed to protect athlete safety or competition integrity.
16. Withdrawal of Access
The Photographer reserves the right to cease coverage if:
Access terms change mid-event
Safety, safeguarding, or accessibility concerns arise
Instructions conflict with previously agreed permissions
No refund will be due where withdrawal is outside the Photographer’s control.
17. Limitation of Liability
All reasonable care will be taken, but the Photographer is not liable for circumstances beyond their control, including injury, equipment failure, weather, or venue restrictions.
Liability is limited to the total value of the booking fee.
18. Data Protection
Personal data is handled in accordance with UK GDPR and used solely for business purposes.
19. Governing Law
These Terms & Conditions are governed by the laws of England and Wales.
